Effective October 15, 2026 · Gradely 2.0, build 2 and later.

The essentials

Gradely works without an account. Your saved academic record and calculations stay on your device. When you choose AI features, relevant information is sent to Google through Firebase. We use limited usage analytics and Sentry diagnostics to improve the app. This version has no advertising. We do not sell your academic records.

What stays on your device

Your profile name, institution, programme, level, semesters, courses, credits, grades, saved grading scale, targets, what-if scenarios, study plan and AI chat history are saved in the app’s local storage. Preferences, AI permission, the daily request counter and cached public app content are also stored locally. Gradely does not provide an account-based cloud backup or sync service. Device backups may include app data according to your Apple settings.

Photos, exports and reminders

The app accesses your camera or a photo you select when you ask it to scan results. Images may be copied temporarily into the app’s private cache for processing; Gradely does not upload a photo library in the background. Exported PDFs, images and CSV files may also be held in a private temporary cache. You choose whether to save or share them and which app receives them.

Study reminders use local notifications if you grant permission. Calendar export adds the study sessions you approve to a calendar you select, if you grant access. Apple or your calendar provider may sync those entries according to your settings. You can change photo, camera, calendar and notification permissions in iPhone Settings.

When you use AI

AI is optional. Before enabling it, Gradely asks your permission to send requests to Google Gemini through Firebase AI Logic. You can turn this permission off in More and continue using manual grade entry, GPA/CWA calculations and planning tools.

For scanning, Gradely reads text on your device and may send the selected result image, together with reference course names, codes and credits, to Google for extraction. An image may visibly contain your name, student number or other private details. Crop or cover details you do not want to send. The scanner is asked to extract course rows only, and you review and correct the results before saving them. Unreadable grades are left for you to enter.

For chat, Gradely sends your question, recent messages in the conversation, semester averages, current average and academic target. Those messages may contain information you type yourself. AI can make mistakes; verify important academic decisions with your institution.

Google processes requests under its applicable terms and data practices. Retention and whether content may be used to improve Google products depend on the Gemini service and project configuration. We do not promise that submitted images or messages remain only on your phone, or that Google never retains them. See Firebase AI data governance and Gemini API terms. Gradely does not automatically train a model from your corrections.

Services used to run and improve Gradely

Public app content

Sanity supplies public app copy, institution information, grading profiles and programme course lists. Your academic record, grades and chat history are not sent to Sanity. Hosting and content services receive normal network information, such as an IP address, when your device requests content or this policy.

Usage analytics

Firebase Analytics receives app and device information and limited feature-usage events, such as completing onboarding or exporting a summary. Our analytics events do not include your name, contact details, course names, grades, marks, GPA/CWA values, AI messages or result photos. This version uses Analytics without advertising identifier support and disables advertising personalization signals. It does not show ads or use your academic records to target advertising. See Firebase privacy information.

Crash reports and performance

Sentry receives crash and error information, app/device/operating-system details and sampled performance information so we can find and fix problems. Gradely disables automatic screenshots, view hierarchies, console logs and interaction breadcrumbs, and filters diagnostic payloads to avoid attaching your academic record, form values or chat. We do not set your student profile as a Sentry user. See Sentry’s privacy policy.

Feedback you choose to send

Send feedback opens a message form inside Gradely and sends your message to our Sentry project. There are no name or email fields and no screenshot attachments. Please leave out grades, student numbers or other private information. A message can still identify you if you include personal details yourself. Network services necessarily process connection information when delivering it.

Anonymous feedback cannot receive a personal reply. If you are offline, feedback may be cached on your device and sent after you reconnect. App records are not attached. For a privacy enquiry that needs a reply, use the contact below.

Your choices, retention and deletion

  • Academic records: edit or delete courses and semesters in the app. Reset academic data clears the saved academic record, scenarios, study plan and chat, including the app’s migration backup, and cancels its study reminders. Preferences, public content caches and the daily request counter are separate.
  • Copies outside Gradely: resetting the app does not delete saved exports, shared copies, existing calendar entries, Apple/device backups, or information already submitted to Google or Sentry. Manage those copies through the relevant service or contact us about a request.
  • AI permission: turn off Allow AI requests in More to stop new requests. This does not recall requests already sent or delete existing local chat history.
  • Device storage: saved records remain until you delete/reset them or remove the app. Temporary files and caches may remain until cleared by the app or operating system. Removing the app deletes its local container; backups and external copies follow their own settings.
  • Service data: diagnostics, analytics, submitted feedback and AI requests are retained under each provider’s applicable retention settings and terms. They are not deleted by an in-app reset. Contact us if you want to ask about access, correction or deletion of information we control.

We use service providers for the purposes described here. Their processing may take place outside your country. We limit app data sent to those services, but no storage or transmission method can be guaranteed completely secure. Do not include sensitive personal information in questions or feedback.

Earlier app versions

Versions before Gradely 2.0 build 2 may contain Google Mobile Ads and its consent controls. On those versions, Google may process advertising/device identifiers, approximate location derived from IP, diagnostics and ad interactions, depending on your region and consent. Use Advertising privacy options when available to revisit those choices. Academic records are not used by Gradely to target ads. This legacy disclosure remains while earlier builds are in use; the current build removes the advertising SDKs and controls.

Privacy questions and requests

Contact Gradely via WhatsApp at +233 240 064 472 for a privacy enquiry or a request that needs a response. WhatsApp handles communications under its own terms; share only what is needed. Anonymous in-app feedback is for suggestions and bug reports.

This page also covers this support website, which receives ordinary web request information through its hosting provider. Material changes will be reflected here with a new effective date and applicable app version.
